VOCATIONAL COURSES (INCLUDING TRAINEESHIPS AND APPRENTICESHIPS, ACCESS PROGRAMS AND INDUSTRY PROGRAMS)

In short the following applies

In order to be eligible for a refund of fees, the trainee or apprentice needs to notify the Registered Training Organisation, in writing, of their decision to withdraw from training. Refunds will be available in line with the Fees and Charges - Policy Guidelines for Publicly Funded Registered Training Organisations and Programs in 2002.

A Notification of Withdrawal Form has been made for this purpose and is attached. It needs to be received by the Registered Training Organisation within two weeks of the date of withdrawal.

Fees and Charges - Policy Guidelines for Publicly Funded Registered Training Organisation and Programs 2002 published by the Western Australian Department of Training notes the following

  • Students who withdraw from a qualification or unit of competency are entitled to a full refund of fees and charges where the qualification or unit is cancelled or re-scheduled to a time unsuitable to the student, or where the student is not a given a place due to the maximum number of places being reached.
  • Students who withdraw from a qualification for other reasons and who lodge a withdrawal notification prior to, or within, four weeks of commencing the first unit of a program of study or on completion of 25% of the first unit (whichever is sooner) will be eligible for a full refund of their tuition fee, provided the request for a full refund is lodged within two weeks of the official withdrawal date. Students who meet the above conditions will also be refunded 50% of the resource fee paid.
  • The Manager can approve a full refund of fees at any time during the semester of the duration of a unit if a class is cancelled because of declining student numbers, no available lecturer, or due to other circumstances beyond their control.
  • The Manager can approve a pro rata refund of fees and charges for qualifications and units at any time during the semester if students can establish, with documentary evidence, satisfactory grounds for withdrawing from the qualification (e.g. serious illness or disability, transfer of employment, or other circumstances beyond their control).

Written advice of withdrawal is necessary after enrolment has been accepted. Students who withdraw from their course without notifying the Manager will not be eligible for refund.

SHORT COURSES

For all other courses the following shall apply.

20% of Fees represent a non-refundable deposit.

The balance will be available for refund on a pro-rata basis, calculated from the end of the week that formal notification of withdrawal was received. Refunds will therefore be calculated using the following formula.

Refund amount = [(80% of Fee)/Program hours] x Hours remaining at end of week that formal notification was received.
